Position Title: Employment Specialist

Supervisor: Director of Human Resources

Description of Essential Functions (critical tasks):

Job Summary: The primary responsibility of this position is to support the recruitment, selection, and retention process for the College and provide confidential clerical services to the Human Resources Department.
  • Provide general direction and supervision of the employment application process, correspondence, and testing procedures. Address applicants concerns and questions regarding the application process.
  • Assist with the administration of the college's Affirmative Action and Diversity plan in compliance with government regulations and board policy.
  • Performs record keeping and clerical functions (copying, faxing, data inputting, telephoning, taking messages, filing, etc) for the purpose of supporting the needs of the department.
  • Develop and maintain appropriate recruiting sources, including online postings and diverse recruitment publications.
  • Creating and processing all position announcements, internal and external postings.
  • Review all application materials and determine if applicants meet minimum qualifications to continue to next phase of application process. Correspond with applicants regarding missing information.
  • Train and serve on selection committees to assist in the hiring process.
  • Schedule qualified applicants for interviews, prepare and distribute interview schedules to search committee.
  • Administer skills testing to applicants when required.
  • Conduct employment reference checks and communicate the outcome to the hiring committee as requested.
  • Complete background check on candidate selected for hire and communicate results to the Director of Human Resources.
  • Communicates to applicants when the position is filled. Sends offer to letter to selected candidate.
  • Update job descriptions as needed.
  • Serve on institutional committees and carry out other professional duties as may be required to represent Human Resources.
  • Attend job fairs for the college as needed.
  • Initiates and creates purchase orders, ensuring accurate record keeping. Reconciles monthly credit card statement.
  • Participate in other Human Resources activities and responsibilities.
  • Other duties as assigned.

Specific Functional Job Requirements

Education: Associate's degree in Business Administration or other related degree and three years' related experience or Bachelor's degree in Business Management. PHR or SHRM certification is preferred.
Experience: Three years experience in human resources setting, recruitment, employment procedures and interview processes preferred.
Knowledge: Demonstrated understanding of federal and state discrimination laws and regulations required. Detail-oriented; problem solving and analyzing abilities.
Skills Ability to plan and organize, great listening skills, excellent verbal and written communication skills. Ability to communicate effectively and interact with all levels of college employees and applicants in a professional and confidential manner.
Personal: Ability to work both independently and collaboratively with various campus representatives, approachable demeanor and ability to maintain strict confidentiality is required.
